PDF ESSENTIALS / 5 min read

A smaller PDF.
Still worth reading.

Choose PDF compression settings, understand the trade-off with selectable text, and check readability before submitting a file with a KB or MB limit.

Docifer guide · Updated 25 October 2026

First, identify the kind of PDF

A PDF can contain text and vector shapes, scanned page images, or a mixture of both. These respond differently to compression. Try selecting text and zooming in. A scan is usually made of pixels, even if OCR has added a selectable text layer.

Keep an untouched original. Repeatedly compressing the last result can compound image damage. If you need another attempt, return to the original with revised settings rather than assuming another pass will improve the same file.

Choose what you need to preserve

In PDF Studio, Original quality retains text and vectors on pages that do not need raster processing. It may save little space when a source PDF is already efficient. Rendered quality settings encode page images and can reduce the size of some documents, at the cost of selectable text and potentially fine detail.

Original quality

Start here when selectable text and sharp vector content matter. Size reduction can be limited.

Rendered pages

Useful for some scan-heavy files. Text becomes pixels, so check small writing and codes carefully.

If the PDF has a cryptographic digital signature, editing or rebuilding it can invalidate that signature. Keep the signed original and confirm what the recipient accepts before making a modified copy.

Set a ceiling and check the result

  1. Open Compress PDF and select the source file. PDF Studio accepts files up to 25 MB each and 100 pages in total.
  2. Choose an export quality. Set the file size rule to Maximum size, enter the number, and select KB or MB.
  3. Prepare the preview. Read the measured file size and whether the limit was met.
  4. If the output is acceptable, download it with a clear name so you can distinguish it from the original.

For a portal with a 1 MB limit, enter 1 and select MB. This does not promise that every document can fit: the number of pages, source detail and quality setting all matter. Docifer uses 1,024 bytes per KB and 1,024 KB per MB for these controls. A receiving website may count differently; leave a little headroom if a file near the limit is rejected.

Read the details, not only the size

Inspect every page at a useful zoom. Pay special attention to small print, faint handwriting, date digits, stamp borders and barcodes or QR codes. Do not infer that a code is readable merely because its outline is visible; verify it with an appropriate reader when it matters.

Compare the compressed copy with the original. Look for softened letters, blocks around dark text and lost pale lines. If those details matter, use a higher quality or a larger size limit. Download and reopen the finished PDF as a final check, since the file you submit is the output, not the editing screen.

When the maximum cannot be reached

Check whether you included blank or unnecessary pages, but remove pages only when the recipient does not require them. If separate attachments are allowed, split the document into clearly named parts and verify the requirements for each one.

For a photo-based document, a new scan with good lighting, a close crop and a suitable resolution may be more effective than aggressive compression. High-resolution noise and large unused margins can consume bytes without helping readability.

If the required pages are still too large at an acceptable quality, ask the receiving organisation for an alternative submission method. Do not treat a successful size check as proof that the content remains usable.
